2020 Recruitment is seeking a highly organised and proactive Sales Operations & Executive Support Coordinator to join our clients’ collaborative and fast-paced team. Based in Kirkcaldy, our client is a leading supplier and known for delivering high-quality products and exceptional customer service to clients across the UK. This dynamic role is ideal for someone with a customer service or sales background who thrives in a fast-paced environment, is an exceptional communicator, and has strong multitasking capabilities. You will play a critical part in supporting daily sales operations, service coordination, and senior management, while maintaining accurate reporting and owning vital business processes.
Key Responsibilities:
Daily Tasks:
· Create and manage quotations for consumables and service work.
· Maintain and update client price lists.
· Support the customer service team with delivery and order queries.
· Join and manage Microsoft Teams calls related to orders and service.
· Provide accurate and timely sales and management KPI reports.
· Prepare commission reports and handle highly confidential data.
· Act as a personal assistant to senior management (calendar management, task follow-ups, sensitive information).
· Manage the service inbox and triage inquiries efficiently.
· Serve as the key liaison between the purchasing and sales teams to coordinate pricing and quotes.
· Maintain and manage critical Shared Drives (quotation requests, NCRs, service centre workbooks, sample requests).
Weekly Tasks:
· Update sales figures and track KPIs.
· Maintain and refresh sales dashboards.
· Compile and deliver weekly sales reports.
· Assist in preparing presentations for weekly sales meetings.
Monthly Tasks:
· Contribute to forecasting efforts and inputting sales targets.
· Update commission sheets and reconcile forecast vs. actual sales figures.
· Produce monthly KPI and performance reports for management.
What We’re Looking For:
· Proven experience in a sales operations, sales support, or customer service coordination role.
· Strong experience in calendar management and administrative support for senior leaders.
· Excellent communication and interpersonal skills.
· Proficiency in Google Sheets, Microsoft Office, and Microsoft Teams.
· High level of discretion and integrity when handling confidential information.
· Ability to manage multiple priorities with a high degree of accuracy.
· A flexible, can-do attitude and a proactive approach to problem-solving.
· Organised, process-driven and results-oriented.
Nice to Have:
· Experience working in service-based or technical sales environments.
· Familiarity with CRM systems and reporting tools.
· Presentation skills and experience compiling sales decks or executive summaries.
· Experience working within ISO-certified environments and structured procedures.
