Administrative Assistant - Fife

Our engineering client is looking for a reliable and detail-oriented Administrative Assistant to support a range of office duties This is a permanent, part-time, office-based role based in Ladybank, and ideal for someone who enjoys variety and can manage multiple tasks efficiently. You will be an integral part of keeping the business running smoothly, with potential for additional hours as the role evolves.

To qualify for this position, previous experience in an administrative or office-based role is essential.

You must have the following skills:

  • Strong multitasking and organisational abilities.

  • Confident with Microsoft Office and business software

  • Excellent communication skills and attention to detail.

  • Ability to work independently and proactively manage a varied workload.

Daily & Weekly Tasks

  • Change server backup disc each morning

  • Send weekly payroll using Clockrite 

  • Conduct weekly fire alarm checks

  • Monitor emails and handle phone calls

  • Maintain tidy and accurate filing (digital & physical)

Admin & Personnel

  • Send letters for personnel matters

  • Enter new staff into the Training System

  • Track absenteeism and generate reports

  • Send monthly remittance details to suppliers

  • Print training reviews every 3 months

  • Order stationery and other supplies as required

  • Support shipping tasks

  • Maintain Visual system and Engineering documentation

Sales & Customer Support

  • Input sales orders and generate work orders

  • Print and email sales invoices

  • Create manual invoices and debit notes

  • Email customer statements

  • Manage returns/scrap processes (NCRs)

  • Update schedules

Purchasing & Finance

  • Create and process purchase orders & invoices

  • Reconcile supplier statements

 

Hours: 16–20 hours per week

Salary dependent on experience

Must have own transport due to location
