Office Manager - Fife

2020 Recruitment is working with a well-established client who is looking to add an Office Manager to their team based in Cupar.

This is a permanent position where the successful candidate will be responsible for the day to day management and operations.

The Role

As the Office Manager, you will be responsible for leading a team of 5. You will ensure Customer Experience is conducted in a professional, friendly, positive, and enthusiastic manner at all times. As part of the Office Manager role, you will also be expected to work in partnership with the Sales Manager and Directors in order to support the delivery of team performance.

The position is full-time, Monday -Friday 9am – 5pm, with 30 minutes for lunch. There is a requirement to cover the office mobile at nights and weekends, on a rota system, this is not incumbent.

Duties & Responsibilities

As the Office Manager your duties and responsibilities will include:

  • Oversee the smooth operation of the office efficiently and effectively.
  • Work in partnership with the Sales Manager to direct and support the delivery of team performance
  • Ascertain customer needs by listening carefully to the details provided, probing where necessary to ensure all data acquired
  • Advising and helping buyers to decide what they want to purchase or if a purchase is right for them
  • Ensure all enquiries are promptly followed up and managed by the team
  • Maintenance of client files and adherence to company structure and standards
  • Ensure every effort is made to cross-sell company products
  • Supporting with essential tasks and deadlines
  • Preparing reports, presentations, and correspondence
  • Assist with intergroup business requirements
  • Compliance with legislative requirements and company directives, policies, and procedures
  • Additional tasks may be defined by the Management

Skills & Experience Required

To be considered for the Office Manager role you must have the following skills & experience:

  • Supervisory/leadership experience in a similar role
  • A competent negotiator with internal stakeholders and clients
  • Excellent customer service skills and ability to understand what the client and buyer needs – showing determination, patience, and focus
  • Strong time management and organisational skills
  • Effective written and verbal communication skills are essential, preparation of documents, attention to detail, and maintaining deadlines
  • Effectively and efficiently use Microsoft Office, specifically Word and Excel
  • Discretion and trustworthiness are key
  • Enhance a strong team and work well under pressure
  • Car owner with a full, clean driving licence
